By using the Attendrix mobile application (the "App"), you agree to the collection and use of information in accordance with this policy.

We collect the following types of information to provide and improve the App's features such as employee location tracking, attendance recording, data logs management and work report generation:
- Account & Registration Data: Your mobile phone number used for registration and login. We may also store your display name, employee ID, department, and profile picture (if provided).
- Location Data: Precise and approximate location information from your device when the App is running or as required by features (check-ins, geofencing, route logs). Location is collected only with your permission.
- Camera & Media: Photos or videos captured and uploaded through the App (for proofs, reports, or attendance verification). Camera access is requested only with your consent.
- Usage & Logs: App logs, timestamps for check-ins/check-outs, work reports, device model, app version, and crash reports to help diagnose issues and improve the service.
- Optional Data: Any additional information you submit through the App (notes, attachments, signatures).
How We Use Your Information
- To enable and manage attendance, check-ins, check-outs and employee location tracking required for work operations.
- To generate, store and share work reports and logs with authorized personnel (for payroll, audits, or management review).
- To authenticate accounts and provide login via mobile number verification (OTP/SMS may be used via third-party providers).
- To respond to support requests, process inquiries, and send important notices (such as security alerts and policy updates).
- To analyze app usage, improve features, and maintain security and integrity.
Permissions & Consent
The App will request access to the following device capabilities. Permissions are optional but may affect the functionality you can use:
- Location: We request location permission to provide attendance and job-location features. You can grant location access "While Using the App", "Always" (where supported) or deny it. If denied, location-dependent features will be limited.
- Camera & Photos: We request access to the camera to capture images or videos for work reports and attendance proof. You can choose to upload existing photos instead of taking new ones.
- We do not access microphone, contacts, or SMS unless you explicitly enable a feature that requires them (and in such cases we will ask for consent with a clear explanation).
Sharing and Disclosure
We will not sell your personal information. We may share information in the following limited circumstances:
- With your employer or authorised managers: Your attendance records, location logs and work reports are shared with the organization that enrolled you in the App or with persons who are authorized to access those records.
- Service Providers: Third-party vendors who help us provide features (e.g., cloud hosting, analytics, SMS/OTP services). These providers are contractually obligated to protect your data.
- Legal Requirements: When required by law, to comply with a court order, or to protect the safety, rights, property or security of the App, our users or the public.
Data Retention
We retain personal data (such as registration details and attendance logs) for as long as necessary to provide the services and for a reasonable period afterwards for recordkeeping, legal and business purposes. Your Rights & Choices
You can take the following actions:
- Update your profile information within the App (subject to employer controls).
- Disable location or camera permission in your device settings — note this may limit functionality.
- Request access to, correction of, or deletion of your personal data by contacting us. We will respond in accordance with applicable laws.
Security
We follow reasonable administrative, technical and physical safeguards designed to protect your information. However, no system is completely secure — we cannot guarantee absolute security. If we learn of a security breach affecting your data, we will follow applicable laws for breach notification.
Third-Party & Analytics
We may use third-party analytics and crash-reporting services to measure and improve the App. These services collect technical data (device type, OS, app version) and usage patterns. We endeavour to use reputable providers and minimize data shared. Where required by law, we will obtain consent.
Data for Payroll, Compliance or Audits
Employers may export or access attendance, location logs and reports for payroll processing, statutory compliance and internal audits. If your employer has specific retention or sharing policies, those will apply in addition to this Privacy Policy.
Children
The App is intended for use by employees and is not directed at children under the age of 13. We do not knowingly collect personal information from children. If we learn that we have collected data from a child, we will take steps to delete it.
International Transfers
Your information may be stored and processed in countries other than your own. We will take steps to ensure appropriate safeguards are in place when transferring data internationally.
Changes to this Privacy Policy
We may update this policy from time to time. When we do, we will revise the "Last updated" date and, where appropriate, notify users within the App. Continued use after changes indicates acceptance of the updated policy.
